Terms and conditions of enrolment
Enrolment
Enrolment is an agreement to participate in the services offered by the Tamworth Regional Conservatorium of Music (TRCM). A completed and signed Enrolment Form must be received by the TRCM Office before participation in any TRCM music education or activity.
Term Dates
TRCM follows the NSW Department of Education term dates for NSW State Schools. For 2026, these are:

Term 1: Thursday 29 January – Saturday 2 April (10 weeks)
Teaching begins Monday 2 February -
Term 2: Monday 20 April – Saturday 4 July (11 weeks)

Term 3: Monday 20 July – Saturday 26 September (10 weeks)

Term 4: Monday 12 October – Saturday 19 December (10 weeks)
Lessons
-
No refunds are issued for missed lessons, including absences due to school excursions.

Lessons missed by a teacher will be made up within the term or credited to the student’s account.

Teachers are not required to make up lessons missed by students.

If a school gives two weeks’ notice of a routine change, the student’s account will be credited.
Health & Student Absences
TRCM adheres to current NSW Government Public Health Orders and the Association of NSW Regional Conservatoriums guidelines.

Notify the TRCM Office (not the teacher) by phone or email if you cannot attend a scheduled lesson.

Do not attend lessons if unwell. Teachers may refuse to teach visibly ill students, and fees will still apply.

For minor illness symptoms, contact the Office before 2 pm to arrange a Zoom lesson at your regular time.
Withdrawal from Lessons
Once a term has commenced, four weeks’ notice (or payment in lieu) is required to withdraw from any lesson, group, or ensemble.
Notification must be made to the Office by phone, letter, or email.
Special consideration may be given in cases of:

Long-term illness

Relocation
-
Unexpected financial hardship
All withdrawals are at the discretion of the Director.
Student Communication
TRCM communicates electronically with students and families via email and SMS.
Please ensure all student and billing contact details remain current.
Fees & Payments

A $10 administration fee applies each term per student.

Tuition fees are invoiced before term commencement (or upon start for new students) and must be paid within 21 days.

Shared school lessons are billed per term with no refunds for early withdrawal.

Tuition fees must not be given to teachers.
Late Payments

Accounts overdue by 49 days incur 10% p.a. interest.

Fee instalment plans may be arranged; interest is waived if payments are maintained.

Non-compliance with an instalment plan reinstates interest and triggers debt recovery.

Students with outstanding debts may not participate in TRCM activities until payment or a plan is in place.

Scholarships & Bursaries
TRCM offers six competitive scholarships providing one 30-minute weekly lesson for the year, taught by a TRCM-employed teacher.
Auditions are open to musicians across the Northwest region.
The Bursary Program supports students facing financial hardship, offering fee discounts of 50%—and in exceptional cases, up to 100%—based on compassionate or financial grounds. Links to the current application form can be found on our website.
Music Books & Copyright
Students are responsible for purchasing required music books. A range of books, accessories, and supplies are available at the TRCM Office.
All materials are protected under the Copyright Act 1968, covering literary, dramatic, musical, and artistic works.
Instrument Hire
A limited number of brass, string, and woodwind instruments are available for hire to enrolled students. Contact the Office for details.
Child Protection
All TRCM teachers, administration staff, and regular contractors hold a NSW Working with Children Check and complete annual Child Protection Awareness Training via the NSW Department of Education.
Supervision
TRCM and its teachers are not responsible for students outside scheduled lesson or rehearsal times. Parents/guardians must:

Deliver and collect students under 18 years old, and

Ensure appropriate behaviour while on TRCM premises.
